🛡️ What’s Protected & How

Every signed-off record is protected automatically — nothing to configure. Here’s what happens behind the scenes.

  • Verified identity. Clients confirm who they are with a one-time code sent to their phone or email before they can sign.
  • 🔒 Sealed at sign-off. The moment a client signs, the record is locked with a server timestamp and a digital fingerprint (SHA-256). If anything about the record ever changes, the fingerprint stops matching and SiteBrief refuses to serve it.
  • 📄 Frozen legal PDF. A final PDF is captured at sign-off and stored unchanged — the same document everyone saw, preserved exactly as signed.
  • Independent timestamp. The record’s fingerprint (never its contents) is also sent to an independent timestamping authority, proving the record existed at that moment — proof that doesn’t depend on SiteBrief.
  • 🔐 Private by design. Reports, photos, and signatures are encrypted in transit and at rest, with access limited to your account and the client links you share. Verification requests are rate-limited to block abuse.
  • 💾 Backed up and monitored. Data is backed up daily, and our team is alerted automatically if anything goes wrong — so problems get found by us, not by you.

Everything you need to know about using SiteBrief — from first launch to project completion. Follow these steps in order for the best experience.

First Time Setup

Before creating your first project, configure your business settings. These details appear on every report you generate and only need to be set once.

How to access Settings:
Tap the gear icon ⚙️ in the top-right corner of your dashboard, or tap your profile icon and select “Settings.”
Select Your Industry
Choose from General Contractor, HVAC, Plumbing, Electrical, Roofing, Landscaping, Pest Control, Property Management, Inspector, or Custom. This pre-fills on every new project but can be changed per project.
Upload Your Logo
Your logo appears in the header of every report and PDF export. PNG or JPG recommended. You only need to do this once.
Enter Your Business Name
Appears on all reports as your company identity. Enter your full business name or DBA.

You only need to do this once. Your settings persist across all projects and devices when logged into your account.

Create a Project

A project represents a single job at a specific site for a specific client. You can create multiple walkthrough reports within one project (e.g., initial assessment, progress update, final walkthrough).

How to create a new project:
1. From your Dashboard, tap + New Project

Start a Walkthrough Report

A walkthrough report documents your on-site observations with photos, area tags, and notes. The report wizard has three steps: Setup, Photos, and Notes. From the Project Detail screen, tap + New Walkthrough Report to begin.

Setup — Confirm Project Details
Review the pre-filled address, client info, and job type. Edit any field if needed. Tap “Continue → Add Photos” when ready.
Step 2 of 3 — Read Carefully
📸 Photos — The Most Important Step
Photos are tagged to areas (Kitchen, Bathroom, Roof, etc.). The app enforces the correct order — you must select an area before you can add any photos. This ensures every photo is properly tagged to its location.

Tap an area chip at the top of the screen (Kitchen, Master Bedroom, Bathroom, etc.) — or type a custom name and tap Set. The green indicator updates: Photographing: Kitchen

Tap Add Photo — the tile is disabled (grayed out) until an area is selected. Take a photo or upload from your library. A toast confirms: “📍 Photo tagged to: Kitchen”

Optional: Tap Spot Observation to add a text-only note (no photo needed) — great for odors, sounds, or conditions that don’t photograph well. Also tagged to the current area.

To switch areas: Tap a DIFFERENT area chip FIRST, then add more photos. The indicator updates immediately. Every photo after that is tagged to the new area.
⚠️ Common Mistake — Avoid This
If you upload multiple photos without changing the area chip, ALL of those photos get tagged to the same area — even if they’re from different rooms. Always re-select the area before switching locations.
Example of what NOT to do: Select “Kitchen” → take 3 kitchen photos ✓ → walk to bathroom and take 2 photos without re-selecting ✗ → Result: all 5 photos tagged “Kitchen” 😬
📷 Taking lots of photos? Burst mode (mobile app)
In the mobile app, the camera reopens automatically after every shot — snap, snap, snap until you tap Cancel. Select the area first, shoot the whole room in one burst, then switch areas and repeat. Every shot is tagged to the selected area.
📸 Camera Roll Backup (mobile app)
With Settings → Camera Roll Backup turned on (it’s on by default), every photo taken with the in-app camera is also saved to your phone’s camera roll — a backup copy stays on your phone even if a report is never finished. This applies to the mobile app only: phone browsers (Safari/Chrome) are not allowed to save website photos to your camera roll.

Shoot all your photos for an area with your phone’s regular Camera app (they stay in your camera roll automatically), then in SiteBrief select the area → Add Photo → Photo Library and select them all at once. They upload together, tagged to that area. Repeat per area.
Step 3 of 3
Notes — Your Professional Assessment
Tap the microphone button and speak your full assessment naturally (recommended), or type your notes in the text field. The AI uses your notes to generate the report summary — the more detail you provide, the better your report will be.
What to include in your notes:
• Walk through each area you photographed
• Describe what you observed — condition, issues, concerns
• Note what needs immediate attention
• Include your professional recommendations
• Mention any follow-up actions or next steps
• Call out anything the client should know
🌐 Report language (EN | ES)
The Report language: EN | ES selector above the Generate button controls the language the AI writes the summary in. It auto-detects from your notes (type in Spanish and it flips to ES), and you can override it per report. Your notes themselves are never translated. Picked the wrong language? Not a problem before sending — flip the selector and regenerate the summary (from the summary screen, tap Edit Notes & Language). Sending is what locks it in as the official report language of the frozen record.
When done, tap “Generate Summary”.
📝 Your work saves itself — automatically
Everything you capture during a walkthrough — photos, captions, area tags, spot observations, voice notes, and your spoken transcript — is auto-saved as a draft as you go. If the app closes, your phone dies, or you lose signal, nothing is lost.
How to pick up where you left off:
The project card shows 📝 Draft in progress — N photos saved, and inside the project the strip reads 📝 Resume Walkthrough Draft. Tap it and Step 2 comes back exactly as you left it.
Want a clean slate instead? Tap 🗑 Discard inside the walkthrough to delete the draft and start fresh.

Generate, Review & Send

After tapping Generate Summary, the AI produces a professional, organized report from your photos, captions, spot observations, and voice/text notes — organized by area, written in your industry’s language.

Review & edit: Read through the generated summary. Tap any section to edit the text before sending.
Polish with AI (Pro): Tap “Polish with AI” for a second-pass refinement that tightens language and improves flow. Use for high-stakes clients.

Send to client: Tap “Send Report to Client.” The client receives an SMS (and an email, if you added their email address) with a link to their portal — written in the client’s language. No app download required for them. If the report’s language differs from the client’s, a courtesy translation of the summary is added automatically at send time and frozen alongside the original.
📋 Note on sent reports
Once a report is sent, it cannot be edited. If you need to document additional findings, create a new walkthrough report on the same project.
🎙️ Voice Transcription Modes (Accurate vs Live Preview)

In Settings → Workflow you can choose how voice memo notes are transcribed. Accurate (recommended) records your full audio and types it out right after you stop — best word accuracy, with the text appearing a few seconds after you finish. Live preview shows words as you speak — instant, but it can lag or miss words on a weak signal. Either way you can always edit the text before it goes into a report.

Client Reviews Your Report

The client opens their portal link (no app or login required) and sees all walkthrough reports with photos and summaries. They have two options per report:

Accept This Report
Client is satisfied. Report is marked Confirmed and removed from the pending list.

Leave Feedback / Concern
Client types a question or concern. You receive an SMS notification and can reply directly from your dashboard. Threads hold up to 5 messages on Free and 10 on Pro & Premium (500 character limit each) — and on Pro & Premium either side can extend the thread by 10 more messages as often as the conversation needs, so you are never cut off mid-conversation (each extension is noted in the thread and in the legal record). Thread resolves when client taps “I Agree — Close This.”
📱 Sharing the report link
If your client says they didn’t receive the SMS, open the project from your dashboard, tap the report, and use the Copy Link button to copy the portal URL. Paste it into any messaging app and send it directly.

Close Out the Project

When the job is done, close out the project. There are two paths depending on your plan:

Free — Mark Completed
Tap the status badge on the project → select ✅ Mark Completed. If a report you sent is still waiting on the client, completion is blocked until they accept it — or until 7 days pass with no client response, at which point you can complete with an explicit “client has not accepted — no signature on file” warning. A confirmation warning appears. Once confirmed, the project is locked.
Pro — Client Sign-Off
Pro & Premium
When all reports are accepted, tap status → Awaiting Sign-Off. Client receives SMS → verifies identity via a 6-digit code (SMS, or email if SMS can’t be delivered) → draws signature → project auto-closes as Completed. You receive an SMS notification when signed.
🔒 This cannot be undone
Once a project is marked Completed it locks immediately — no edits, deletions, or changes can be made to the project or any of its reports. If you closed it by mistake, you have a 24-hour window to reopen it from the Project Detail screen; after that it is permanent. Signed-off projects can never be reopened — the signed record is legal documentation and must remain immutable.

After Completion — Export & Archive
Day 0 Project marked Completed. Export your PDF now — it includes all photos, summaries, feedback threads, and the client’s signature.
First 24h The project stays on your dashboard marked ✅ Completed, with ↩️ Reopen available (unsigned completions only). When the 24-hour window ends, it moves to the Completed folder automatically.
Day 14 Photos are automatically deleted. All text records, summaries, and threads are kept permanently.
📄 Exporting your PDF
From the Project Detail screen, tap Export PDF. The client can also download a copy from their portal after signing. Export before day 14 to preserve photos in the PDF.
↩️ Archive & Unarchive
Finished jobs file into the Completed folder; projects you stash yourself live under Archived. Use the Unarchive button on an archived card to bring it back to your main list. Completed projects stay locked as Completed — unarchiving does not reopen them.

Tell us what you’re working on

Enter the property or job site address, your client’s name, and the industry or job type. This takes less than a minute and gives the AI the context it needs to write a report that sounds like it came from a professional in your field — not a generic template.

Step 2 — Photos & Observations
Capture everything as you go

This is where you document what you see. Start by setting your current area — kitchen, mechanical room, Unit 4B, roof section, whatever applies to your job. Everything you capture from that point is automatically tagged to that area.

Take photos of anything that needs documenting. Tap any photo to add a caption — describe exactly what you’re looking at. See something that doesn’t need a photo? Tap Add Spot Observation, speak or type what you noticed, and move on. It saves instantly.

When you move to the next area, update the area name. That’s it. SiteBrief keeps track of what belongs where so you don’t have to.

Step 2 builds the evidence. Photos with captions and spot observations are the factual record of what you found. The more thorough you are here, the more detailed and accurate your report will be. You don’t have to remember anything — capture it now and keep moving.

Captions and annotations can be added anytime — tap any photo later to caption it. Areas are set when a photo is added, so select the right area before you shoot or upload.
Spot observations are perfect for anything verbal — “door doesn’t seal,” “tenant confirmed this has been ongoing,” “recommend follow-up within 30 days.”

Step 3 — Notes
Tell the story

Tap the microphone and speak freely. Walk through everything you observed, anything discussed with the client or occupant, your professional assessment, and your recommended next steps. Don’t worry about structure or format — just talk through it the way you would explain it to someone.

You can also type your notes directly if you prefer. Both go to the same place.

The AI listens to everything — your Step 2 photos and observations plus your Step 3 notes — and writes your report.

Step 2 captures the facts. Step 3 captures the meaning. A list of observations is data. A narrated assessment is a professional document. This is the step that turns what you saw into advice your client can act on.

When a project has two or more walkthroughs, numbered jump tabs appear at the top of the project screen — tap one to go straight to that walkthrough instead of scrolling.

Name your walkthroughs. Tap the ✎ pencil on a tab to give it a name — Foundation, Roofing, Plumbing, HVAC — and the tab shows “1 · Foundation” so the order stays visible. Leave the name blank to return to the numbered default. Names are for your navigation only; they never change the report or the signed record.

Pro users can initiate the conversation first — ask the client a question directly from the report before they respond. The client receives an SMS, answers in their portal, and the thread continues from there. Use this to clarify scope, confirm access, or flag something before the client reviews.
Client Star Rating

After the client signs off and the project is marked Completed, a star rating card appears at the bottom of their portal. They can leave a 1–5 star rating for your work. It’s optional for them and takes one tap.

Free users are limited to 3 reports per month. Pro removes that cap entirely — create as many reports as your workload demands, with unlimited photos per report. No counting, no cutoffs.

When all reports on a project are accepted, set the status to Awaiting Sign-Off. The client receives an SMS, opens their portal, and signs digitally. Identity is verified via a one-time code (SMS, or email if SMS can’t be delivered). The signature is embedded in the final PDF and the project closes automatically.

Generate a full project PDF from the project detail screen or the client portal. Includes your branding, all report summaries, photos, client feedback threads, and the final signature if the project has been signed off. Useful for your own records or handing off to a third party.

Free users can add one contact per project. Pro allows up to 3 — useful when a job has multiple stakeholders such as a homeowner, property manager, and general contractor. Only the primary contact (Contact 1) can take binding actions — reply, leave feedback, accept reports, agree to changes, and sign off. Contacts 2 and 3 are view-only: they get their own portal links and can verify their identity to read reports and download records, but they cannot comment, approve, agree, or sign — and the server enforces this.

⏳ Awaiting Sign-Off Pro & Premium
Work is done and you are requesting the client’s electronic signature. The client receives an SMS and their portal shows a sign-off form. All reports must be accepted before you can set this status. Once the client signs, the project automatically moves to Completed.
✅ Completed Free & Pro
The job is done. Free users tap “Mark Completed” manually to close out a project. Pro users can also reach this status automatically when the client signs off. The completed project stays on your dashboard for 24 hours — with Reopen available for unsigned completions — then files under the Completed folder automatically. A 14-day photo deletion countdown also begins.
⏸ On Hold
The job is paused — waiting on parts, permits, weather, or the client. Everything is kept as-is; switch back to Active whenever work resumes.
🚫 Cancelled
The job fell through. The project and its reports are kept for your records, and you can filter by Cancelled on the dashboard.
📁 Archived
The project was stashed in the Archived folder manually by you. (Finished jobs file under the Completed folder instead — automatically, 24 hours after the project is marked Completed.) Photos are removed on day 14; all text records are kept permanently. Use Unarchive to bring an archived project back to your main list at any time.

Final Client Sign-Off

Once you mark a project Awaiting Sign-Off, the client’s portal shows a sign-off section at the bottom. The sign-off process includes identity verification to ensure the correct person is signing.

  1. Reviews all walkthrough reports one final time
  2. Taps Send Verification Code to receive a 6-digit code by SMS (or by email if SMS can’t be delivered)
  3. Enters the code to verify their identity
  4. Draws their signature on the signature pad
  5. Taps Sign & Complete Project
📱 Identity Verification
Before the signature form appears, the client must verify their identity via a one-time code sent to the phone number on file (delivered by email if SMS can’t reach them). Codes only ever go to the contact information you entered on the project — the client can’t redirect them. The record states the actual method used (verified phone or verified email), and the verified contact is embedded in the signature record and the final PDF, creating a verifiable record of who signed and how their identity was confirmed. This is the code that gates the final sign-off signature — separate from the optional Require ID verification to accept switch you can turn on for a single high-stakes report.
👥 Who can sign & approve
Only the primary contact (Contact 1) — the person who holds the agreement with you — can accept reports, agree to changes, and sign off. Contacts 2 and 3 are view-only: they can verify their identity to read the portal, but the server refuses any binding action from them. Verifying identity to view never grants signing rights. Need to change who Contact 1 is? Open the project, edit the contacts, and save — you do not need a new walkthrough. The new Contact 1 details also carry over to reports you have already sent, so verification codes and notifications go to the right person. Once the client has signed off, the project is locked and contacts can no longer be changed.

If the client’s language is Spanish, the sign-off page shows the acknowledgment in Spanish first with the English text directly beneath it. The final frozen PDF carries the same bilingual sign-off page and records which language the client signed in — one document, no ambiguity about what was signed.
🔔 You get notified
As soon as the client signs, you receive an SMS. The project status updates to ✅ Completed and the signature is stored permanently on the project record.
Require ID Verification to Accept (High-Stakes Reports)

For reports people argue about money over — move-outs, damage documentation, final visits — you can flip on Require ID verification to accept when you send. Your client must then verify with a fresh one-time code (sent by text message, with email as the fallback) right before their one-tap acceptance, and that identity verification is recorded in the acceptance evidence. The switch suggests itself automatically for move-out, damage, and final visit types. Standard acceptances are also sealed with tamper-evident evidence — exactly what was accepted, when, and from what device; the elevated switch adds the fresh identity check on top. This is in addition to the sign-off code, never a replacement: the sign-off code always runs before the final signature, while this switch adds a fresh code right before the client accepts one specific report.

Photo Deletion & Auto-Archive

To manage storage, the original photo files are automatically deleted 14 days after a project is marked Completed (90 days on Premium). Text records, summaries, observations, next steps, and all feedback threads are kept permanently. On a project the client signed off, the photos are not lost: they are sealed inside the signed PDF, which you and your client can still open years later — only the separate original files are removed. If a project is marked Completed without a client sign-off, SiteBrief saves an unsigned Completion Record PDF with the project photos embedded — clearly stamped UNSIGNED, kept for one year, and included in the Evidence Pack — so the photos survive after the original files are removed. A later genuine client sign-off replaces it with the signed record.

A full project PDF can be generated at any time from the project detail screen. It includes your branding, all report summaries, photos, client feedback threads, and the final signature if the project has been signed off.

Select your industry to customise report types and AI language. Options include Plumbing, Electrical, HVAC, Roofing, Landscaping, Pest Control, and more. You can also create a fully custom industry.
Business Profile
Your name, company, phone number, and logo appear on every report and PDF you send. Set this up in Settings so clients always know who the report is from.
Sync & Backup
Your data is stored on this device and synced to the cloud automatically — including in-progress walkthrough drafts, which auto-save as you work. Tap the 🔄 sync button in the top bar — or simply pull down on the dashboard (the familiar pull-to-refresh gesture) — to force a manual sync at any time, for example to check whether a client has just signed.
Camera Roll Backup (mobile app)
On by default. Photos taken with the in-app camera are also saved to your phone’s camera roll as a local backup. Toggle it in Settings.
📍 Photo location data (privacy)
By default, SiteBrief removes any embedded GPS location from photos before they upload — where a photo was taken never leaves your device. If you want your photos to keep their location data, opt in under Settings → Privacy (opted-in photos upload untouched, at full size).
App language (EN | ES)
Switch the app between English and Spanish from the EN | ES toggle on the dashboard top bar or in Settings. This changes your app only — each client’s portal follows the language set on their project.
Appearance (Light / Dark / System)
Choose Light, Dark, or follow your device’s system setting. Dark mode applies to your app only — client portals, report previews sent to clients, and PDFs always render light for readability.
Diagnostics
Settings → Diagnostics shows the recent error messages from this device. If something goes wrong, open it and tap Copy Report to include the details in a support message.
Delete Account
Permanently deletes your account, profile, and unsigned project data. This cannot be undone. Signed sign-off records are the client’s legal copies — they remain available to your clients through their portal links, including the frozen PDF and signature, even after your account is gone.

Language & Spanish Support (EN | ES)

SiteBrief works fully in English and Spanish — and you and your client don’t have to use the same language. If you both use the same language, none of this matters: everything is written in that one language, start to finish, with no extra steps. When your languages differ, SiteBrief handles it automatically — the report keeps one official language, and a clearly labeled courtesy translation is added for the other side. Here is what each language control changes:

Your app language
The EN | ES toggle on the dashboard (or in Settings) switches every screen, button, and label in your app. It never changes what your clients see.
Your client’s language
Set Client’s Language on each project. Their portal, report texts and emails, verification messages, and the sign-off page all follow it — and it decides whether a courtesy translation is added to reports whose official language differs. Clients can also flip the Portal display language (EN | ES) switch on their own portal at any time — that switch changes only how the portal pages are displayed; it never changes the official report or the frozen legal record.
Report language (per report)
On the notes step, the Report language selector (the amber card) sets the official language the AI writes that report’s summary in — the frozen legal record is written in it. It defaults to the language of your notes and you can override it per report; the line beneath the selector tells you live whether a courtesy translation will be included for this client. Picked the wrong one? Change it and regenerate the summary any time before sending (from the summary screen, tap Edit Notes & Language) — sending is what locks the official language into the frozen record.
Automatic courtesy translation
If the report language and your client’s language differ, SiteBrief adds a courtesy translation of the report summary automatically at send time — nothing extra for you to do. The report’s official language always stays on top and the translation appears clearly labeled beneath it — so a Spanish report for an English-speaking client shows Spanish first with English underneath, not English first — and both are frozen together in the tamper-evident record. The original language prevails if there is ever a dispute. This also means you can always read your own reports: whichever language a report was generated in, the other language travels with it. If the translation can’t be generated, the report still sends in its official language with a clear notice — never a silent failure.
Bilingual sign-off & final PDF
If your client signs from a Spanish portal, the sign-off acknowledgment appears in Spanish first with the English text directly beneath it. The single frozen PDF carries the same bilingual sign-off page and records the language the client signed in.
🔒 What is never translated
Your original notes and observations, client replies, and message threads appear exactly as written — in any language, on any screen, and in every PDF. The report summary is the only thing that gets a courtesy translation, and even then the original text is never replaced or altered — the translation is stacked beneath it, clearly labeled, and the original language prevails. Nothing in a signed record is ever rewritten.

🤝 Quick Agreement — Approve Changes Mid-Job

Something changed on the job — extra work, a substitution, a credit? Send a Quick Agreement from the report thread instead of waiting for a phone call. Describe the change, set the price effect (Add $, No charge, or Credit −$), and optionally attach one photo. Your client gets a text and approves or declines right in their portal. One photo only — Quick Agreements do not take PDFs or Word files. To send a document (an estimate, a spec sheet, a third-party report), use Attach Sub-Report on the report itself: any PDF up to 10MB (Pro & Premium). Word files have to be saved as a PDF first.

Verified before it binds. Only the primary contact can agree or decline, and only after verifying their identity with a one-time code sent to the contact info on file (phone, or email if SMS can’t be delivered). The record states the actual method that verified them. Larger changes ($500+) require a fresh code at the moment of agreement.
Sealed record. An agreed Quick Agreement is sealed — description, amount, timestamps, the verified contact, and the photo’s digital fingerprint — and it appears in the project PDF as part of the permanent record. It covers that change and that amount only, never the whole project.
You stay in control. You can withdraw a pending Quick Agreement any time before the client responds. Declines are recorded too — no silent outcomes.
📦 Evidence Pack — Your Records, Sealed & Verifiable

The Evidence Pack is a downloadable ZIP of a project’s complete record: the report PDFs (including the frozen signed PDF once the project is signed off), the photos, the full message thread, the sign-off record, and a manifest listing every file with its digital fingerprint (SHA-256 hash) plus a trusted third-party timestamp certificate proving the content existed at that moment. Photo availability follows retention: every photo stays sealed inside the signed record PDF permanently, so a pack built years later still shows them, while the separate original photo files are deleted 14 days after a project is marked Completed (90 days on Premium) — a pack built after that lists those original files as no longer stored and the sealed PDF is unaffected. If a project was completed without a sign-off, the pack’s reports section includes the stored unsigned Completion Record PDF (clearly stamped UNSIGNED, kept for one year) with the photos embedded, so they remain available after the original files expire.

Every pack includes plain-English verification instructions — a lawyer, insurer, or client can independently check the hashes and timestamp with free tools, no SiteBrief account needed. If any byte of the record changed, verification fails.

🕒 Buying before sign-off — honest labels, permanent unlock
You don’t have to wait for the project to close. An active project’s pack can be purchased — anything not yet signed is disclosed to you before payment and stamped UNSIGNED inside the pack, so it never pretends to be a sealed record. One purchase unlocks that project permanently: your unlock never expires, re-downloads are free (there is a daily generation limit that resets the next day), and after your client signs, the next download automatically includes the sealed signed record at no extra charge.
🔔 Automatic Sign-Off Reminders

When a project sits in Awaiting Sign-Off, SiteBrief can nudge your client for you with polite SMS reminders — sent during reasonable daytime hours, capped so clients are never spammed, and stopped automatically the moment they sign, reply, or text STOP. Turn it on and tune the defaults in Settings, or override per report. You keep a full log of every reminder sent.

🧾 QuickBooks — Draft Invoices, You Stay in Charge

Connect your QuickBooks Online account in Settings → Integrations (strictly optional — nothing connects unless you do it). Once connected and enabled, a client sign-off creates a draft invoice in your QuickBooks for that project.

Drafts only — never sent for you. SiteBrief never emails an invoice to your client and never moves money. You open QuickBooks, review, edit, and send it yourself.
Quick Agreement amounts pre-fill. Agreed “Add $” changes appear as draft line items so you don’t retype figures the client already approved; agreed credits are noted privately on the draft for you to apply as you see fit. Everything stays editable before you send.
Disconnect any time. Turning the integration off stops new invoice drafts immediately; your SiteBrief records are unaffected.

Draw Invoices — Bill the Work You’ve Documented

A Draw Invoice turns walkthroughs your client has already seen into a clean, professional payment request — a Draw Summary PDF tied to the exact work on record. You create it, you set the amount, you decide when the client hears about it. SiteBrief never moves money and never sends anything automatically.

📝 Creating an Invoice

Open a project and tap + Create Invoice in its Draw Invoices section — invoices are always created from the project screen. Pick the walkthroughs the invoice covers; each one shows its billing state (Not invoiced, Invoiced, Paid, or Paid + invoiced again) so you can see at a glance what has already been billed.

Already invoiced? You’ll be asked why. Selecting a walkthrough that is already on another active or paid invoice is allowed, but you must type a short reason (for example “prior invoice voided — reissuing”). That reason is kept permanently on the record.
Optional title. You can name the invoice (for example “Roofing Phase — Tear-off & Decking”). The title appears on the Draw Summary PDF, the client’s card, and your invoice list.
QuickBooks is per-invoice. If QuickBooks Online is connected, a Create in QuickBooks checkbox appears at the confirm step (on by default). Untick it to keep that one invoice PDF-only — your QuickBooks connection is untouched.
💵 You Build the Amount, Line by Line — Read It Before You Send It

You enter your own line items (description + amount), tagged Entered by professional, and any change orders your client signed in SiteBrief on the selected walkthroughs are added automatically, tagged Signed in SiteBrief. The amount requested is the total of those lines — SiteBrief does no tax or contract math. Read and verify the total before you create the invoice; the record is honest about the fact that the lines came from you.

Signed change orders come in automatically. Quick Agreements your client signed in SiteBrief on the selected walkthroughs are appended as their own labeled lines, so you never retype them. Your own lines stay fully editable until you create the invoice; after that the invoice is a frozen snapshot.
🚦 Status Colors & the Overdue Trigger
🟢 Green — Paid  🟡 Amber — Invoiced, awaiting payment  ⚪ Gray — Voided  🔴 Red — Overdue: still unpaid past your trigger
Your overdue trigger. An unpaid invoice turns red after 14 days by default. Change it to 7, 14, or 30 days with the picker in Settings.
Marking paid. Payment status is manual — you mark an invoice Paid after a confirmation step, and you can optionally note how it was paid (for example “Check #1047”). That note is kept on the invoice record and shown wherever the Paid status appears.
Status changes are quiet. Your client sees status updates on their link; SiteBrief does not text or email them status changes.
📩 Notify Client — One Tap, One Message

Nothing is ever sent automatically. When you’re ready, tap Notify client and SiteBrief sends exactly one message — over the same channel the report was delivered on (text if it was texted, email if it was emailed) — telling your client a new draw summary is on their link. That is the only message Draw Invoices ever sends.

👤 What Your Client Sees

On their existing report link, your client gets an Invoices card showing only the current active invoice — its title, amount, date, live status, the walkthroughs it covers (tappable, straight to their own reports), and the Draw Summary PDF. Voided invoices disappear from their view (your records keep everything). The Draw Summary is a summary of documented work — it is not a payment demand.

🚫 Void & Reissue

Wrong amount or wrong scope? Void the invoice — you’ll type a short reason that stays permanently on the record — and create a new one. The voided invoice and its Draw Summary stay in your records exactly as issued; nothing is ever silently altered. A reissue appears to your client as the new invoice.

🧾 Receipts for Paid or Voided Invoices

Once an invoice is marked Paid or voided, a Receipt button appears on it — a printable PDF status record with your business branding, the invoice’s details, and the digital fingerprint of the frozen invoice it references. Your client can download it too: their portal has a Receipts card for paid invoices, next to the Draw Summaries card that keeps every summary in one place.

🧾 QuickBooks Users — Posted, Never Sent

If QuickBooks Online is connected, a draw invoice is also posted into your QuickBooks — but SiteBrief never sends the QuickBooks invoice to your client and never records payments there. You review and send it from QuickBooks yourself, or skip QuickBooks entirely and use the Draw Summary PDF as the invoice’s delivery.

What Is Continuous Walkthrough?

Instead of stopping to type or dictate note by note, Continuous Walkthrough records one hands-free audio track while you walk the site and talk naturally. Snap photos any time. When you tap Finish, the AI turns everything you said and captured into a draft report automatically. Available on plans that include it; free accounts get a limited number of trial walkthroughs.

Running a Walkthrough
1. Open a project and go to Step 2 → the Continuous tab
2. Tap Start — a mic check screen opens with a live voice meter so you can see it hears you

• After 2 minutes of silence the app asks “Still there?”
• After 3 minutes of silence recording pauses itself — tap Resume to continue

🎤 If No Speech Was Captured — Your Photos Continue
If a walkthrough finishes and no usable speech was found, it does not dead-end: your photos continue straight to Step 3, already placed in the report. From there you can type your notes in the summary box or redo the walkthrough. The on-screen message tells you what actually happened — either no speech was detected in the recording (mic muted or covered, loud surroundings), or the audio couldn’t be processed on our side. Either way nothing is billed: no minutes are charged and a trial walkthrough is never consumed.
Pause & Photo Limit
• Tapping Pause stops the audio recording and the billing meter — nothing you say while paused is captured, transcribed, or charged
Photos still work while paused — you can keep snapping pictures. On the report timeline they’re anchored at the moment you paused (right after the last thing you said), because the recording clock is frozen while paused
• Paused time is not billed; tap Resume when you’re ready to record voice again
• Up to 200 photos per walkthrough — resuming the same walkthrough shares that limit. Need more? Finish this one and start another walkthrough on the same project
Resuming & Discarding

If the app closes or you step away mid-walkthrough, nothing is lost — your audio and photos are saved. You'll see an unfinished walkthrough banner on your dashboard and a ⏺ in-progress chip on the project card; either takes you straight back to continue. Discarding an unfinished walkthrough permanently deletes its audio and photos, so the app always asks you to confirm first.

If Your Phone Dies or Is Lost — Recover This Walkthrough

While you record, your audio uploads to the cloud in small pieces as you go. If the phone dies, the app is killed, or the device is lost mid-walkthrough, open the walkthrough on the same device — or on another device you sign in on, once the original has been quiet for 10 minutes — and choose Recover this walkthrough: the report is built from everything already uploaded. The last moments before the interruption may not have finished uploading; the app tells you honestly if anything could not be recovered, and the recovery is noted on the report record. Photos are protected the same way.

How Billing Works

Subscriptions renew automatically each cycle and can be cancelled any time from Settings → Plan & Billing (or your app store's subscription settings) — cancellation takes effect at the end of the current period. Payments are handled by Stripe or by Apple/Google in-app purchase; SiteBrief never stores your full card number.

Accidental Recordings & Refunds

• A purchased minute pack can be refunded only when it was bought within 48 hours of the affected session and is at least 80% unused (packs bought through Apple/Google are refunded through that store's process)
• Subscription fees follow the refund policy in our Terms of Service and your app store's rules
How Long Your Data Is Kept
• Photos are deleted 14 days after a project is marked Completed (90 days on plans with extended retention) — export your PDF before the window closes
• Continuous Walkthrough raw transcripts are kept for 90 days after assembly, visible only to you, then permanently deleted — the finished report is unaffected
Signed sign-off records (the frozen PDF and its verification data) are kept for a minimum of 7 years
